Shared Delivery Pattern
Every Trace service follows the same control pattern regardless of scope:
- Qualify — confirm the client's situation and the correct service
- Scope in writing — define deliverables, assumptions, exclusions, client inputs and timing
- Payment gate — cleared payment before work begins
- Consolidated information request — one structured digital intake, not drip-fed asks
- Verified sources only — technical decisions use only verified PPE standards and regulatory sources
- TBC, not assumption — unknown or unverified information is marked
TBC, never filled by guess - Written approval for external costs — lab and certification body fees approved in writing before commitment
- Quality checks before delivery — every technical statement verified against approved sources
- Walk-through and close — review output with the client, record decisions and next actions, then close or convert through a separately agreed scope
This control pattern is made visible and immediate through Modern Compliance: a direct channel in the client's chosen tool, a single structured digital intake, and a live shared task list. The discipline itself does not change; only the visibility and speed of how it is experienced.
Service-Specific Routes
Free Triage and Second Opinion
Free Triage is a 15-minute qualifying call outside the numbered control pattern above — no scope document, no payment gate, no deliverable; its only output is a routing decision. Second Opinion runs the full pattern at reduced scope: one product's file or one evidence pack, ending in a written verdict and gap list rather than a route plan or register.
Route Finder
A fixed five-working-day diagnostic.
Entry qualification confirms product family and variants, intended claims, target markets, development stage, existing evidence, known changes, deadline, and decision-maker.
Delivery runs through the shared control pattern with the five days visible in the shared channel. Output is a written route plan covering what is known, what remains uncertain, what the route requires, material risks and assumptions, and the clear next decision.
Certification Management
One public service with four internal delivery scopes selected at quoting. Only Full Certification Management and Documentation-only are pushed as public entry points; Testing-only and Certification-only coordination are offered case by case once qualification shows they fit.
- Full Certification Management
- Documentation-only
- Testing-only coordination
- Certification-only coordination
The client remains the issuer of their documents. Trace prepares but does not issue in Trace's name. Weekly written status updates are provided on active projects. Direct factory communication under mutual NDA and Trace's own high-spec sample submission form are part of how the work is run.
Range Review
Entry qualification confirms product count, range boundaries, variants, markets, trigger, deadline, available evidence, and decision-maker.
Delivery builds a per-product register, separates product-specific gaps from range-wide problems, validates and prices remediation, and produces a prioritised range view: what is covered, what is missing, confidence levels, risks, ownership, remediation scope, and next decision. Uncertain identity matches are flagged rather than assumed.
Issue Response
Urgent intervention for a defined PPE compliance problem. Written intake only — no phone route — then same-day direct triage to a severity level (Contained/Urgent/Critical), a visible action list with owners and deadlines, and a written position proportionate to the issue. Boundaries remain exact: no legal advice, no control over independent bodies, and no guarantee of resolution.
Embedded Support
Ongoing technical responsibility without a full-time hire. Two layers:
- Watch — the entry rung; roughly one hour/month, asynchronous monitoring, expiry alerts, and a periodic exception note
- Configured retainer — built above Watch from priced units of ongoing capacity (documentation sets/month, documents checked/month, monitoring depth), quoted bespoke through an internal configurator
Normally begins with a Range Review. Scope, capacity, response expectations, and independent-party responsibilities are explicit. The shared task list is the visible pulse of the retainer.
Training
Three practical sessions delivered by Glen, individual or group:
- PPE Foundation Training — half day, remote; terms, process, and ownership boundaries
- PPE Document Workshop — full day, in person; the client's full documentation set worked interactively into a championed, brand-owned record
- Motorcycle PPE Training — full day, in person; built from the client's own products and the standards that actually apply
A complete three-session pathway is available. Training does not replace independent testing, certification-body assessment, legal advice, or the client's responsibility for its products.
Stop Conditions
Trace pauses or stops when:
- Product identity is unclear
- Evidence is unsupported or unusable
- Material product change occurs mid-route
- The client asks Trace to guarantee an outcome
- Required authority or approvals are missing
- Unsupported claims are requested
- Unknown information is requested to be treated as confirmed
Close-Out Standard
A service is complete only when the promised output is delivered, decisions and next actions are recorded, open questions and TBC items are visible, files are stored correctly, external decisions are recorded accurately (not overstated), follow-on work is separately scoped, and the job is closed or moved to an agreed next cycle.
